1. Who we are and how to reach us

Springer West Ltd is the data controller for the personal information described in this policy. We are a company registered in England and Wales.

2. The information we collect

• Enquiries. Your name, email, phone number and whatever you tell us about your property or plans when you contact us or book a call.
• Client files. If you engage us: property details, budgets and financial information relevant to the work, and correspondence over the course of the engagement.
• Guest information. Where we operate a property, we receive booking details — names, contact details, stay dates — usually from the booking platform rather than from you directly.
• Website data. Technical information such as IP address, device and pages visited, collected through cookies described in section 8.

We do not ask for special-category data, and our services are not directed at children. You are not obliged to give us any of this information, but without the basics we cannot respond to an enquiry or act for you.

3. How we use it, and our lawful basis

Where we rely on legitimate interests, we have balanced them against your rights and use your data only in ways you would reasonably expect. You can unsubscribe from marketing at any time using the link in every email. We do not make automated decisions about you.

4. Who we share it with

• Professional advisers involved in your work — solicitors, accountants, surveyors.
• Contractors and suppliers working on your project, limited to what they need.
• Booking platforms and payment providers, where we operate a property.
• IT, hosting and email providers who process data on our behalf under contract.
• Analytics and advertising providers — Google (Analytics and Ads) and Microsoft (Clarity) — only where you consent through the cookie banner.
• HMRC, regulators or law enforcement where the law requires it.

We never sell personal information.

5. Where it is stored

Your information is stored in the UK or the European Economic Area wherever possible. Where a provider processes data outside the UK, we rely on UK adequacy regulations or the UK International Data Transfer Agreement (or Addendum) so it receives equivalent protection.

6. How long we keep it

• Enquiries that go no further — up to 2 years, then deleted.
• Client files — 6 years after the engagement ends, for tax and legal-claim purposes.
• Guest booking records — as long as legal and platform requirements demand.
• Marketing list — until you unsubscribe or we hear nothing from you for 2 years.

7. Your rights

You can ask us for a copy of your information (a subject access request), ask us to correct it, delete it, restrict how we use it, object to our use of it, ask for it in a portable format, and withdraw any consent you have given. There is no fee, and we will respond within one month.

8. Cookies

When you first visit, a banner asks whether we may set optional cookies — accepting and rejecting are equally easy, and the site works fully either way. We set one essential cookie to remember your choice, and analytics and advertising cookies only if you consent. You can change or withdraw your choice at any time using the "Cookie settings" link in the footer, or block cookies in your browser.

If you reject optional cookies, none of the consent-based cookies are set; the services above then receive only limited, cookieless signals used for aggregate measurement.

9. Security

Access to personal information is limited to the people who need it, data is encrypted in transit, and every provider that processes data for us does so under a written contract. If a breach ever put your rights at risk, we would notify the ICO within 72 hours and tell you without undue delay.

10. Changes to this policy

We will post any changes on this page and update the date at the top. If a change materially affects clients, we will tell you directly.
